Your Conference Checklist

If you are organising an event or conference, we have put together a brief checklist to help you plan your event. 
  
 arrow  Speakers      
   Do you want a speaker to open/close your event? Who will be chairing your event/keeping the meeting flowing/following timelines?
 arrow  Financial
   Have you drawn up your event budget? Added 10% contingency? Who is looking after the supplier payments/contracts?
 arrow  Delegate Information
  Do you have information to send to the delegates to ensure they know where the event is being held/the timings/brief outline of the day/delegate registration and importantly what are you leaving with your delegates to ensure they remember the day? 
 arrow  Warm-up Sessions  
  Many events start with a warm-up session to break the ice/introduce the day. Who will chair the session/how will it be facilitated? 
 arrow  Technical Equipment  
 

Have you ordered all the necessary technical equipment? Do you need powerpoint?

Do you require exhibition stands?  If you require promotional material to be displayed, talk to our conference co-ordinator.

Draw up schedule of day, allowing time for delays at start and after lunch. Liaise with Woodlands Conferencing to confirm:

-          catering

-          delegate registration

-          accommodation information

-          audio visual facilities

-          signage

-          decoration

-          break-out room requirements

Organisation of entertainment

  Compiling of information for delegates
  Delegate information packs
  Name badges
